1. Who we are
Zero Transport is a trading name of Zero Transport NE Ltd, registered in England & Wales, company number 16234337, a private hire operator licensed by Newcastle City Council and based in Newcastle upon Tyne.
We are the data controller for the personal information described in this policy. That means we decide what information we collect and how it is used.

2. The information we collect
When you make a booking, we collect:
- Your name
- Your email address
- Your phone number
- Your pickup location
- The location of any additional stops (via points) you add to your journey
- Your drop-off location
- Your date and time of travel
- The number of passengers
- Anything you tell us in the free-text box at the start of booking (for example special requests or notes about your journey)
We only collect the details we need to arrange and provide your transport.
3. Why we use your information, and our lawful basis
To provide the transport you book — including passing the details the driver needs to complete your journey (see section 4). Your booking details are processed both to provide your journey and because we are legally required to keep a record of them (see section 5). Lawful bases: performance of our contract with you — UK GDPR Article 6(1)(b); and legal obligation — UK GDPR Article 6(1)(c), because our private hire operator's licence requires us to keep booking records.
To take payment — your payment is processed through Stripe. Lawful basis: performance of our contract with you — UK GDPR Article 6(1)(b).
To run and improve our service — booking and operational information is used to operate the booking system, keep records, improve the service, and help prevent fraud. This work is carried out for us through our booking-system supplier, Meeri Systems (see section 4). Lawful basis: our legitimate interests — UK GDPR Article 6(1)(f).
To meet legal requirements — where the law requires us to keep or share information. In particular, as a licensed private hire operator we are required by our operator's licence conditions to keep a record of every booking (see section 5), and we also keep records the law requires for tax purposes. Lawful basis: legal obligation — UK GDPR Article 6(1)(c).

4. Who we share your information with
We share your information only where it is needed to provide the service you have booked, or where the law requires it. We do not sell your information.
Your assigned driver receives only the details needed to complete your journey: your name, phone number, pickup location, any additional stops, drop-off location, and date and time of travel. Drivers do not receive your email address or your payment details.
Stripe — our payment provider, which processes your payment. Zero Transport does not store your full card details.
Google — we use Google mapping services to work out addresses and journey distances so we can price and plan your trip.
Resend — the service we use to send you booking emails, such as your confirmation.
Cloudflare — the service that hosts our website.
Meeri Systems — our supplier, which operates the booking system on our behalf and carries out the operational work described in section 3.
5. How long we keep your information
As a licensed private hire operator, we are legally required to keep a record of every booking. This booking record includes the name the booking is made in, your contact details, the date and time of travel, the pickup place, any additional stops, the destination, and the vehicle and driver used for the journey.
We keep these booking records for 1 year, and they must be available at our operating premises for inspection by an Authorised Officer of Newcastle City Council. After 1 year, records are deleted or anonymised unless the law requires us to keep them longer (for example, records we must keep for tax).
This booking record is separate from any anonymous, aggregate visitor counts our website may collect. Those website analytics are not linked to your booking and are not the record described here.
6. Your rights
Under UK data protection law you have the right to be informed about how your data is used; to access your data; to have it corrected or deleted; to restrict or object to its use; to data portability; and rights about automated decision-making. Some of these depend on the lawful basis we rely on.
We will respond to a request within one calendar month. You can make a request using the contact details in section 1.
You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.

7. Cookies
Our website uses only the storage necessary for the site and the booking form to work (for example, holding your booking details while you complete a booking). We do not use advertising cookies, and we do not build advertising profiles or track you across other websites. We use only essential cookies that are needed to make our website and the booking and payment process work — for example, our payment provider (Stripe) may set cookies during checkout. We do not currently use analytics or marketing cookies. If we introduce any in future, we will update this policy and ask for your consent where the law requires it.
8. Changes to this policy
We may update this policy from time to time. The current version and its effective date are always shown on this page. This is version v1.0, effective 13 July 2026. Where we make material changes, we will post them on our website.
9. Governing law & jurisdiction
This policy is governed by the law of England & Wales. Any dispute relating to it is subject to the courts of England & Wales.
